‘Virtual’ General Meeting Conducted by Email - Court Painting.

 

Official record of discussions leading up to court redecorating conducted for 06 -10 April 2009.

 

The start date for this VGM is 09 July 2008 - which was shortly after the AGM of 24 April 2008 when discussion on refurbishments started. Contact with known companies and speculative emails were sent out on 09.07.08 (see Appendix 1)

 

Most quotes came in during July and August 2008, and were revisited for suitability in February 2009 (see email to Squash Committee 19.02.09).

 

The preferred contractor was Martin Howe of Ashley Leisure Services. Not all committee members forwarded their views, but all were given the opportunity.

 

Notices and emails were circulated to advise of the works. The April league was slightly extended to accommodate players for the inconvenience. Works were conducted between 06-09 April 2009.

The invoice was queried because of a suspected overcharge on 20 April 2009.

Confirmation of proposed works quote was circulated to the committee on 16.03.09.

With a provisional start date set for 06 April 2009 (court closed for 5 days).

Subsequent discussions on extending the league playing period ensued after the start date for refurbs was confirmed.

Thanks for your replies and comments.

I have just spoken to Martin of Ashley Services and we have made provisonal arrangements to progress the plans we discussed last year - focuusing initially on the front wall. He wants to take a look at the wall first, but I have sanctioned the work to start if he is willing. The work could therefore begin sometime in the first 2 weeks of April.

I'm sorry that I've been a bit slow on progressing this, but things were a bit hectic last year so this stuff got temporarily 'shelved'.

I've started recontacting the companies - starting with Ashley Services, as this chap seemed to understand exactly what we needed. Will work down the rest of the list in due course.

Appendix 1

09 July 2008

Dear ‘Company’,

 

I just picked up your company from the web and I was wondering if you might like to quote for a job that we need doing on our squash court ?

 

We have a free standing Banbury style court which is about a 30yrs old.

The wall has been painted over a dozen times and the paint is a quite thick layer.

Unfortunately it is flaking away from the concrete in places and this process gets worse every year.

Our working parties have painted the front wall most years, but it is disheartening to see chips appearing soon afterwards from newly flaked areas.

 

I was wondering if you might be interested in conducting any of the following repairs ?:

 

Part A: Strip all paint from front wall. Repair concrete as necessary. Seal concrete. Prime and Top coats of paint

 

Part B: Attend to filling in chips on side walls. Clean, prime and paint with top coat.

 

Part C: Attend to out of court areas. Straighten one or two plaster boards. Clean prime and emulsion.
